Frequently asked questions
Which file types can I redact?
Rapid Redact works only on PDF files.
What’s the largest file size I can redact?
You can redact any PDF up to 50MB.
Who can use Rapid Redact free of charge?
You can! This redaction tool is free to everyone. If you don’t have a Datasite project, you can sign up for a free account.
Can I use the mobile app to redact files?
Currently, Rapid Redact is only available through the web interface.
Can I redact a password-protected PDF?
You’ll need to remove password protection before redacting your document – and remember to re-protect the PDF afterwards if necessary.
Do I need to install software to use the app?
The whole process is online, so you don’t need software.
How do I search for words or phrases?
Just enter a word or phrase in the keyword search field. This displays a list on the right showing all occurrences of your search term. Select occurrences from the list and click Add mark to mark them for redaction. You can also click on any occurrence to jump to its location in the document.
How do I search for personally identifiable information (PII)?
Click into the keyword/pattern search field to find and redact all instances of a particular type of PII, such as phone numbers, email addresses, and credit card numbers.
Can I redact in colors other than black?
To redact in a color of your choice:
1. Highlight a word or phrase
2. Click it to open the style menu
3. Adjust the fill and/or border color as you wish
You can also adjust the styling options (top of page) to customize your own default style.
Can I use an alias term instead of a redaction?
In some cases, you may prefer to replace a word or phrase with ‘dummy’ text (so as not to draw attention to it being a redaction). To do this:
1. Highlight a word or phrase
2. Click it to open the style menu
3. Add your alias for this term
Can I redact multiple files at the same time?
The Rapid Redact app handles only one file at a time. To redact multiple documents across an entire data room, check out the AI redaction available in the Datasite Diligence app.
Can I undo redaction after I’ve processed the file?
For security reasons, a redacted document can never be unredacted – but your original unredacted copy is stored in My Documents so you can revert to it at any time.
Does Datasite keep a copy of the files I upload?
All original (unredacted) and new (redacted) files are stored in your My Documents area. No other users can access them, and you can permanently delete them anytime.
