Which documents can I watermark?
Any document can be watermarked, provided you have converted it to PDF format. Most packages (such as those in Microsoft Office) offer free conversion to PDF under the Save As menu.
What’s the largest file I can watermark?
You can watermark any PDF up to 50MB.
Who can watermark files free of charge?
You can! Watermarking with Datasite is free to everyone. If you don’t have a Datasite project, sign up for your free account.
Can I watermark using the mobile app?
Currently, the Watermaking app is only available via our web interface.
Can I watermark a password protected file?
You’ll need to remove password protection before adding a watermark – and remember to re-protect it afterwards if necessary.
Do I need to install software to use the app?
The whole process is online, so you don’t need software.
Can I add a light watermark to a dark document?
Yes, if your document is dark or colorful, you can change the watermark color to one that is visible against the background.
Can I create a watermarked document for multiple recipients?
Yes, you can add the names of up to ten different recipients in one go using the variable text feature. This will download a zip file containing one file for each recipient, with their name applied to the watermark.
Can I remove a watermark?
Watermarks are permanent (for better security). Still, Datasite automatically stores a copy of the original (un-watermarked) files in your My Documents area, so you can always access a clean copy.
Does Datasite keep a copy of the files I upload?
All original (un-watermarked) and new (watermarked) files are stored in your My Documents area. No other users can access them, and you can permanently delete them anytime.
How secure are my documents?
At Datasite, security is our top priority. We adopt the latest cloud security best practices. The Datasite platform:
- Stores and maintains user information, application data, and logs separately
- Treats passwords with cryptographic hash algorithms
- Encrypts at-rest files with AES 256-bit encryption and regularly creates backups
- Protects in-transit data via Transport Layer Security (TLS) 1.2 protocol
- Captures, analyzes, and actions events in real time
- Accesses files only upon request, supported by document access review and change management processes
How secure is my data?
Data security is why Datasite exists. We have a dedicated security organization focused entirely on protecting your data. It ensures deep risk management and strong governance throughout the platform.

Is Datasite compliant with the General Data Protection Regulation (GDPR)?
Yes, Datasite is GDPR compliant in the EU and UK. What’s more, our working group regularly reviews, maintains, and improves our data protection policy.
